Venues Administrator

Find and secure the right spaces, in the right places, so our nationwide first aid training runs without a hitch. You'll be the person who makes sure every venue is booked, compliant and ready before learners and trainers arrive.

About the role

We're looking for an organised, proactive Venues Administrator to support the planning and delivery of our first aid training courses across the UK. You'll source, book and manage training venues - making sure every arrangement is accurate, cost-effective, compliant and ready to go before each course begins.

It's a role with real influence on the quality of our training operations: making sure suitable venues are available in the right locations, with enough course dates scheduled to meet learner demand all year round.

What you'll be responsible for

Venue management

  • Source and secure suitable training venues across the UK.
  • Make sure venues meet our standards for access, capacity, facilities and practical training.
  • Negotiate competitive rates and build strong relationships with providers.
  • Keep an eye on venue costs and spot opportunities for better value.
  • Maintain an approved venue database with accurate contact and booking details.

Course & venue administration

  • Confirm and pay venue bookings ahead of every scheduled course.
  • Check venue details are correct across systems, websites, booking platforms and learner messages.
  • Coordinate venue needs with trainers and the operations team.
  • Manage booking schedules so there's enough course availability for learners.
  • Watch future demand and secure extra dates before they're needed.

Compliance & risk

  • Obtain, review and maintain venue risk assessments and health & safety documents.
  • Make sure venues meet company policies and training delivery requirements.
  • Report and resolve any venue issues or concerns promptly.
  • Keep accurate records of all venue compliance documentation.

Learner & trainer support

  • Provide venue information and support to learners, trainers and internal teams.
  • Answer venue-related enquiries professionally and promptly.
  • Help resolve venue changes, cancellations and emergency relocations.
  • Keep training running smoothly through good planning and communication.

General administration

  • Maintain accurate records, spreadsheets and booking systems.
  • Produce reports on venue usage, costs and future booking needs.
  • Help with general admin to support the wider operations team.
  • Support other business projects and operational activities as needed.

About you

What you'll bring

  • Experience in an administrative, coordination or scheduling role.
  • Strong organisation and time-management skills.
  • Excellent attention to detail and accuracy.
  • A confident communicator, in writing and in person.
  • Able to juggle multiple priorities and deadlines.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Strong problem-solver who can work independently.
  • Experience booking venues, events, training or meeting facilities.
  • Knowledge of health & safety or risk assessment processes.
  • Experience in training, education or healthcare.
  • Familiarity with CRM or training management systems.
